Job Overview We are seeking a highly organized and proactive Finance / Office Manager to oversee daily accounting and office operations and ensure a smooth, efficient work environment. The ideal candidate will possess strong accounting, administrative, supervisory, and communication skills, with experience in office management, bookkeeping, and member relations. This role involves managing finances, handling financial tasks, and supporting various association administrative functions to facilitate the overall success of the organization.
Responsibilities – to include, but not limited to: Accounting • Use of Sage 50 accounting software and Membee software • Accounts receivable / Accounts payable • Payroll including 401(k) reporting • Bank deposits • Month end financial reporting • Annual budget coordination with Executive Director • Work with accountant on taxes and year end reporting • Work with show director on invoices, payments, reports, reconciliation • MMHF accounting • Louisville Manufactured Housing Show accounting / work with MH village
Membee • Keep membership and event records up to date • Monitor dues renewals, invoices and payments to include sending out member letters and decals to renewals and new members
Board meeting coordination • Announcements, agendas, reports for board meetings and minutes
Meeting / event coordination • PAC Golf outing / MH Community Conference / MH Meeting / Holiday party
Other • Manage PAC account to include reports to the election commission • Complete and send reports to the Indiana Lobby Commission • Work with investment and insurance firms on coordination and reporting • Any additional tasks and responsibilities assigned by Executive Director or board
Qualifications • Proven experience in finance, office management or administrative roles, preferably within association settings • Excellent organizational skills with attention to detail in filing, bookkeeping, and scheduling • Effective communication skills both written and verbal; professional phone etiquette required • Experience in accounting, member management, payroll processing, budgeting, and training & development preferred • Ability to handle multiple priorities efficiently in a fast-paced environment • Demonstrated ability to manage confidential information with discretion
