The Certifications Manager is responsible for coordinating, monitoring, and maintaining the certifications and renewal process. This position is also responsible for facilitating all aspects of IAVM certifications, and processes including but not limited to, application review, registration, exam oversight, and renewals. Responsible for the accuracy and integrity of the credentialing information within IAVM’s database system and related applications. Works under the supervision of the Director of Governance/Operations.
Primary duties and responsibilities
Leads, coordinates, and approves the review and analysis of Certified Venue Professional (CVP) and Certified Venue Executive (CVE) applications and accompanying documents, ensuring applicant eligibility.
Identifies issues that require additional information and evaluation, validates discrepancies, and ensures appropriate follow up.
Maintains a certification file for each applicant and updates the applicant through each step of the certification process via email.
Responsible for collecting all applicable fees within the timeframe required for each certification.
Monitors the initial renewal and recurring process of both CVP and CVE designees to ensure applications are completed and fees paid prior to the January 1 deadline.
Follow-up with applicants that are within the stages toward certification but have not yet completed the process.
Work with staff to prepare marketing plans for certification programs.
Performs miscellaneous job-related duties as assigned.
Supporting duties and responsibilities
Responsible for entering payments for application and exam fees, study material fees, and renewal application fees.
Updates current designees for the website.
Provides staff support to IAVM’s Certification Board, including scheduling conference calls, taking minutes, and answering requests.
Responds to members’ questions in a prompt, accurate, friendly, and professional manner.
Keeps up-to-date records/spreadsheets for both certification programs as the application process is rolling for both (may submit applications all year long).
Helps Director of Governance/Operations to maintain an updated (living document) Policies & Procedures Manual.

Excellent detail-oriented judgment skills in problem-solving, planning and organizing, and coordination are necessary to ensure successful handling of all areas of credentialing.
Ability to communicate effectively, both orally and in writing.
Program planning and implementation skills.
Ability to use independent judgment to manage and impart confidential information.
Ability to make administrative/procedural decisions and judgments.
Ability to focus for extended periods of time.
College degree preferred, but not required.
Proficiency in Microsoft Office (Word, Outlook, Excel, and PowerPoint).
Database experience desired.
