The American Guild of Organists (AGO) is the world’s leading professional association serving the organ and choral music fields. Founded in 1896, the Guild serves approximately 13,000+ members in approximately 270 chapters throughout the United States and abroad.
Summary: This job requires working from our headquarters in New York City, two days each week, with the remainder of the time, working remotely.
The Membership Operations and Database Specialist’s core responsibilities are to maintain accuracy and usability of the membership database, ensure the database is updated with member and constituent changes, and support all membership renewal and engagement activities. The specialist interacts and engages with members, customers and prospects providing a high-quality experience; and is knowledgeable of all products, services and technology platforms. This position creates consistent member value through coordination and superior execution of the activities related to new member onboarding, membership renewals, retention, and recruitment. The specialist will report to the Chief Membership Officer and will work closely with the Member Engagement and Chapter Support Manager.

Essential Functions & Responsibilities: **We are currently working with an AMS called IMPAK but will be migrating to iMIS over the next few months. We anticipate that many of these tasks and functions will be streamlined in iMIS.
- Manage integrity and accuracy of AMS data to ensure optimal communications with members, prospects, and other customers.
- Maintain an updated membership database by adding new prospects and relationships to the database timely.
- Process new member applications and renewals in accordance with AGO standards.
- Prepare and distribute annual membership renewal dues invoices, enter dues payments into database, and perform follow-up collection activities while working closely with the finance and administration teams.
- Review data input and identify records to dedupe as necessary.
- Send membership billings and payment acknowledgements to members.
- Schedule renewal emails to follow-up with current members, members with lapsed memberships or prospects.
- Schedule follow up onboarding emails to news members at various times throughout the year, currently using Constant Contact.
- Send digital welcome packets to new members specific to each membership segment.
- Post payment batches and create remittance reports for chapters.
- Create, generate and update membership data reports, dashboards, lists and queries, and handles membership login and password requests.
- Assess and monitor ongoing membership data reporting needs and determine how to store/organize it in such a way that is easily used by staff and the organization.
- Monitor and respond to member questions, concerns and requests, and other customer inquiries via mail, email, phone, and website.
- Provide administrative backup support for handling incoming phone calls and scheduling new member welcome calls.
- Create monthly list of addresses and print orders for accurate mailing of The American Organist Magazine.
- In conjunction with IT staff, make recommendations on database enhancements and improvement measures to maximize features and use of the system.
- Direct AGO’s online community platform daily, to engage new members and support individual communities to strengthen engagement.
- Other duties as assigned.
Required skills:
- Experience working with iMIS, preferred.
- Proficiency in Microsoft Office Suite (Outlook, Access, MSWord, Excel and PowerPoint)
- Use of discretion and sound judgment when setting and adjusting priorities.
- Strong attention to detail, well-organized with strong process and project management skills.
- Excellent interpersonal and customer service skills to work with key audiences including members and staff.
- Exceptional analytical thinking and troubleshooting skills in data records management and storage.
- Ability to deliver quality work on tight deadlines and manage priorities, with strong organization and priority setting skills.
- Ability to communicate with and work well with others with varying skills, technical knowledge, and levels in the organization.
- Resourceful and comfortable working in a small team environment where daily interaction will be virtual. Self-sufficiency is essential.
Education & Experience:
- Associate’s Degree Required. Bachelor’s Degree preferred.
- Minimum four years of experience supporting membership departments with multiple chapters.
Work Environment/Physical Demands:
Ability to work in an office environment including prolonged sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at a time.
