GENERAL SUMMARY:
Responsible for program development support, implementation, and evaluation of the Annual Meeting, and other meetings. Guide and provide recommendations to relevant committees, providing review and analysis to aid in strategic decisions.  Manage and implement a variety of complex meeting and education initiatives as outlined in the OTA’s strategic plan.  Serve as liaison to committees.

DUTIES AND RESPONSBILITIES:

1. Develop, manage, and evaluate assigned meetings (including the OTA Annual Meeting, pre-meeting courses, and others). 

Serve as primary staff liaison to the OTA Annual Meeting Program Committee. Manage the abstract submission and program planning process.

Oversee the creation, production, and distribution of all meeting materials and resources, including preliminary and final programs, handouts, eposters, etc., within budget and timelines.

Serve as liaison to meeting presenters.  Manage presenter recruitment and related communications material. Develop, collect, and record required documentation.

Collaborate in the evaluation process, recommend new learning or environment formats to enhance the attendees’ experience, and implement.

Manage the financial health and stability of the Society’s meetings; ensure for proper and transparent fiscal record keeping. Make financial decisions consistent with the approved budgets and strategic/operation plans.

Provides progress reports and provide final analysis report for each meeting.

Create and manage meeting contracts.  Prepare specifications for vendor solicitation as needed.  Develop requests for proposal and prepare proposal comparison grids for review and decision. 

2. Provide support and guidance to leadership and staff.

Guide and support assigned committees.  Create agendas with leadership input; arrange and communicate meetings and conference calls; develop and distribute agenda materials; draft, distribute meeting minutes/ official business; ensure follow-up on all action items.

Develop and present appropriate reports at each meeting; develop and maintain effective communications and relations with leadership.

Required:       

• Undergraduate degree or equivalent work experience.
• At least three years of association work experience, preferably with a medical society.
• Proficient in Microsoft Office.
• Deliver results under deadline pressure.
• Exceptional member service acumen; excellent verbal and written communication skills; strong organizational and project management experience.  Ability to think proactively and creatively. 
• Must excel in a fast-paced, team-oriented environment.  Flexible, supportive, and “can do” attitude is crucial to success.  This person must have integrity and credibility with leaders, members, vendors, and staff.
• Part-time work at home (2 days per week in the office/3 days at home). Because of the nature of our business, OTA employees may be required to perform work off-site (i.e. hotels, conference centers, etc.).
