Journal Production Coordinator

Perform the following functions for the American Journal of Public Health: Monitor the submission and peer review processes, ensuring manuscripts are processed in a timely fashion, and assists authors, Editorial staff, and peer reviewers with any problems. Monitor the Journal production workflow from upload of final versions through copyediting, proofreading, composition, online posting, and finalization, and assists authors, Editorial staff, and Production staff with any problems. Coordinate with staff, freelancers, and authors to ensure timely and efficient publication of the Journal. Provide administrative support for the production department as needed. Assist the set-up and coordination of Spring and Fall in-person Editorial Board meetings; takes meeting minutes. Submission/Peer Review Process: Oversee the submission and peer review process, assisting the Editor-in-Chief, Associate Editors, authors, and peer reviewers with access and procedural problems. Provide support for Associate Editors to ensure timely completion of peer reviews, troubleshooting delays as needed. Provide support for authors to ensure correctness of submissions, screen incoming submissions and revisions to ensure manuscript compliance with AJPH requirements. Answer technical questions about the tracking system and the submission/peer review process; assist in training, as needed, to use the tracking system. Coordinate with Deputy Editor to ensure all manuscripts are blinded prior to peer review. Work with authors to update files when unblinded files have been uploaded in error. Production Process: Assist authors with final version manuscript uploads and answer their queries, answer style/formatting questions, review accepted manuscripts for completeness and liaise with authors to resolve potential problems (references, tables, figures, blinded material), and answer technical questions about the submission system and the production process. Review final acceptance requirements to ensure that authors are following instructions and making necessary updates in addition to Production requirements. Consult with journal Editor-In-Chief regarding article publication schedules and standards as needed. Check final version manuscripts for missing or incorrect elements and ensure that corrected files are sent for preliminary edit. Other Tasks: Review, edit, and update AJPH and APHA Web pages and production-related e-mail templates as needed. Coordinate delivery of complimentary PDFs of articles to published authors. Work with Deputy Director of Publications to ensure timely revision of contracts and payments to editors and review vendor contracts for renewal dates. Arrange travel, room accommodations, conference tolls, meal functions, meeting notices, agendas, and supporting materials for AJPH Editorial Board Spring and Fall meetings in coordination with the Conventions department, APHA travel agency, and Accounting department. Other duties/projects as assigned by the Director of Publications or Publications Editor, including assisting with the books program projects, annual journal binding, etc., as needed.

Bachelor’s degree in English, journalism, or related field. One year of experience in proofreading and copyediting or publications, knowledge of periodical production, manuscript tracking systems, and AMA style desirable. Must have excellent written and oral communication skills, good computer skills, strong organizational ability, and sharp eye for detail. Must be flexible, reliable, and hard working. Must be able to travel to attend events and other off-site functions when applicable and work occasional evenings and weekend as job duties or projects require it. Requires occasional lifting and moving to 25 lbs.
Position is based in downtown DC near several metro stations. Hours: 35 hours a week, full-time, Mon- Fri. (daytime). Number of openings: 1.
