This contracted support position is a 28 hour/week role that will help support execution of the ISAKOS Congress, the premier international medical meeting for specialists in arthroscopy, knee surgery, and orthopaedic sports medicine. Scheduled to be held live in Cape Town, South Africa in late November 2021, the ISAKOS Congress provides a variety of new preventative, therapeutic and surgical technique information, allowing participants who attend this meeting to expand their knowledge and enhance their surgical skills. This position is responsible for assisting the ISAKOS Director of Education & Engagement in managing and executing the ISAKOS Congress, as well as ISAKOS Education & Research programs throughout the year. This includes assisting with coordinating support for the Program, Education, Scientific and Traveling Fellowships Committees, including work groups, projects & initiatives required to fulfill committee charges and the goals of the organization. This role helps support chairs with maintaining current content on myCommittees, plus preparation for chair reports to the EC and BOD. This position also works with committee members, staff, and leadership to develop and execute educational, research, and awards/fellowship programming. Additionally, the incumbent may contribute content needed for ISAKOS Newsletter, eBlasts, website content, and program summaries, as requested. Primary duties and responsibilities include, but are not limited to: - Program Coordination for ISAKOS Congress
- Coordinate abstract submission and review, including abstracts and ePosters; facilitate publication of Congress abstracts with JISAKOS Editors and publisher.
- Provide email management for program-related emails (faculty, abstract/ePoster authors).
- Coordinate chairs and faculty responses to invitations to participate, and help coordinate replacement invites
- Manage the speaker database and serve as a main point of contact to communicate with faculty to secure bios, video uploads, presentation uploads, etc.
- Coordinate the CME processes for Congress, Sports Rehab Concurrent Course and Pre-courses, adhering to ACCME guidelines and submitting required documentation.
- Support the awards and fellowship programs to ensure timely execution, plus updates to webpages, database, email communications, and reports.
- Help faculty implement polling, surveys, breakout discussions, and other interactive features of the ISAKOS Congress, to better engage learners
- Help administer Congress attendee survey and certificates, report on survey feedback
- Participate in documenting SOPs for program support.
- ISAKOS Education Program Coordination
- Coordinate development and maintenance education calendars
- Contribute to the successful planning, management and execution of ISAKOS webinars, Surgical Skills Lab Courses, Virtual Courses, and Regional Meetings.
- Assist with the management of agenda development, speaker invitations, preparing meeting materials, faculty management, and overall assistance with project management through each event completion
- Help faculty implement polling, surveys, breakout discussions, and other interactive features in ISAKOS educational offerings, to better engage learners
- Administer attendee survey and certificates for participants in education programs, and aid in documenting participation in learner records
- Coordinate development of new content and review of existing content on Global Link, engaging physician committee members.
- Coordinate CME accreditation for ISAKOS education programs, including application, reporting, requested follow-up
- Assist with the management of the ISAKOS database to implement new and maintain existing ISAKOS educational program, and document requirements for continued improvements in ISAKOS database integration
- Support course database development, maintenance, and issue resolution
- Participate in documenting requirements for a Learning Management System and assist with developing LMS programs for increased engagement.
- Document Standard Operating Procedures (SOPs) for educational offerings.
- Program Coordination for ISAKOS Research and Awards/Fellowships
- Administer timely and efficient processes for applications, review and notifications, travel and registration support, in collaboration with Director of Education and Finance Manager.
- Serve as a main paint of contact to communicate with applicants and with winners of ISAKOS Research Grants, Awards and Fellowships, helping secure needed information for travel, presentations, funding, etc.
- Assist with onboarding an international travel agency to assist with traveling fellowships.
- Participate in developing report of research grants and reporting templates.
- Coordinate updates to all related research grant and Awards/Fellowships webpages, documents, emails.
- Participate in documenting SOPs for ISAKOS research grant activities.
- Coordinate Program Support for ISAKOS Participation in Collaborative Courses
- Assist Director of Education with faculty management, including invitations, responses, etc.
- Serve as a point of contact in communication with faculty regarding speaking commitments, including bios/photos, presentation uploads, AV needs, travel support/reimbursement
- Work with teammates to ensure effective registration, marketing and technology support
