Position: Manager, Trade Show Services Reports To: Senior Director, Trade Show Services FLSA Exemption: Exempt
Office Location: Headquarters – Washington, D.C
The Manager, Trade Show Services provides on-going logistics support and project management for the Trade Shows Department with an objective to ensure the integrity of team and corporate performance in achieving quality and excellence in all PLASTICS products and services.
The Manager oversees and implements services to satisfy contractual obligations to exhibitors with a goal to improve the exhibitor experience.
The Manager oversees management of the exhibitor services, registration, audio-visual, and Certificate of Insurance show contractors, and coordinates the schedule and descriptions for trade show education programs and special events.
Essential Functions: • Support the Vice President of Trade Shows & Marketing with management of the NPE Committee activities, including but not limited to operational and logistical processes, reporting, analysis, rosters, voting, meeting files, meeting logistics, minutes, follow-up on action items, and communications. • Supervise the exhibitor services contractor in implementing exhibitor communications on logistical operations, show services, sales, invoicing, and other services related to PLASTICS expositions and with exhibitor database and file maintenance. • Oversee budget preparation and management of registration and audio-visual contractors. • Manage registration contractor services for programming, testing and launching attendee, exhibitor and media registration for the show and manage on-site registration services. • Manage registration contractor services for development of exhibitor lead services, guest pass invitations, and exhibitor access to the registration portal. • Manage Certificate of Insurance (COI) contractor services, collect and track COI forms for exhibitors and Exhibitor Appointed Contractors (EAC). • Coordinate education program and event schedule in the MapYourShow education module. • Support the Senior Director of Operations and the Senior Director of Trade Show Services with the development and creation of exhibitor service manuals, training modules, operational reports, and tracking exhibitor forms. • Provide coverage of the PLASTICS Trade Show’s phone and email accounts, responding in a professional business manner to routine show questions and specific requests regarding show services. • Provide registration reports as established and requested. • Oversee reconciliation of exhibitor financial records and process refund requests. • Track required exhibitor forms, coordinate communications for collection and approval of required exhibitor forms. • Coordinate production of printed show directory. • Interact with general contractor, facilities and all sub-contractors regarding exhibitor lists, space assignments, and special requirements. • Provide various administrative duties related to trade show operations, services, and committee management. • Assist with proofreading of department materials related to promotional and exhibitor information, show directories, show website, etc. • Assist in the selection, management, and measurement of assigned contractor services. • Assist and direct the coordinated efforts among all relevant Show/Event contractors and services related to the attendee and exhibitor experience. • Work with Trade Show Team to plan and implement a cohesive communications plan for exhibitors. • Work with Trade Show Team on website and virtual platform content and management, and other related activities. • Provide on-site support during the show through management of registration services, ensuring show management rooms are set accurately and on time, and assisting with exhibitor services. • Prepare final trade show service reports for the show’s wrap-up meeting. • Assist with special projects as assigned by supervisor.

Staff member will be expected to treat member communications as a top priority.
Relationships: • Internally: Responsible for interfacing with all staff where appropriate. • Externally: PLASTICS Members, NPE exhibitors, industry educational organizations, and vendors.
Experience, Knowledge, and Skills: • Experience: 5+ years related tradeshows/convention experience. Association experience preferred. • Special Knowledge, Skills, and Abilities: Ability to travel. Working knowledge of Microsoft Office, iMIS, MapYourShow or other exhibit management software, and other supporting technologies. • Education: College degree (BA/BS)
