GENERAL SUMMARY: Coordinate the development, implementation, and evaluation of the Society’s activities and programs according to key association management principles and ethics to maintain a healthy and viable organization. Coordinate a wide variety of detailed and complex project management activities driven by the Society’s initiatives and strategic plan. Serve as a liaison to committees and provide on-site support at meetings and courses.
DUTIES AND RESPONSIBILITIES:
Coordinate, implement and support membership activities:
Serve as the staff liaison to the Membership Committee and Mentorship Committee.
Update and maintain the membership application process; coordinate the submission, review, and notification activities.
Maintain membership records; track historical membership data and identify trends.
Develop, distribute and collect membership dues.
Coordinate the development and implementation of an annual membership recruitment and retention plan; maintain and update membership promotional materials; seek new membership marketing opportunities.
Collect, process and maintain JPO subscription fees. Communicate with JPO staff to assure membership data is accurate.
Collect, process and maintain mentorship applications.
Update and maintain Alliance Society agreements and contacts.
Update and maintain member participation document.
Assist Marketing and Membership Manager with development and maintenance of the Member Engagement App.
Coordinate, implement and support committee activities:
Prepare, update and maintain the Committee Appointment Program (CAP). Update committee rosters and charges. Prepare reports and assist leadership with committee appointments and notifications to chairs and committees.
Serve as staff liaison to the History Committee. Assist the committee with the development of its annual exhibit. Maintain the Society’s historical documentation and distribute.
Serve as staff liaison to the Hall of Fame Committee. Update and maintain the application processes; coordinates the submission, review, and notification activities.
Coordinate, implement and support Society Activities:
Answer society telephone; respond or forward to appropriate staff.
Monitor society email account and surface mail; respond or forward to appropriate staff.
Schedule committee calls.
Process and distribute applications for society endorsements. Circulate to leadership for approval. Notify applicant, provide necessary guidelines and collect and process appropriate fees.
Update and maintain the Job Board. Provide necessary guidelines, collect and process appropriate fees.
Provide support and guidance to leadership and staff:
Support leadership with agenda development, arrange and communicate the meetings; distribute agenda materials; write appropriate reports; draft, distribute, and archive meeting minutes/official business; and conduct follow-up on action items.
Work with leadership and staff to implement committees’ deliverables on time and within budget.
Review and evaluate activities on a regular basis; ensure committees are meeting objectives; provide guidance.
Ensure materials on Society website are up-to-date.
Evaluate and/or maintain procedures, descriptions, announcements, statistical reports and history.
Develop and maintain effective communications and relations with leadership.
Provide administrative coordination to facilitate department projects and activities.
Develops and maintains protocols and procedures related to position’s responsibilities.
TRAVEL: 10-15 days per year
High School Diploma or equivalent plus 2 years or more of college.
2-4 years in an assistant position with 2-3 years implementing membership marketing activities.
Strong member service mentality and delivery; effective verbal and written communications; strong organizational and interpersonal skills.
Ability to think proactively and creatively.
Must excel in a fast-paced, team-oriented environment.
Cooperative, supportive, and “can do” attitude is critical to success. This person must have integrity and demonstrated credibility with leaders, members, vendors, and staff
Association Management experience.
Proficient with MS Office.
Experience with iMIS.
