The Association for Research in Vision and Ophthalmology (ARVO), located in Rockville, Maryland, is the world’s largest eye and vision research organization. We are seeking a talented professional to manage our abstract submissions, program development, speaker coordination and production of on-site materials for ARVO’s smaller scientific meetings, including ARVO International. Additionally, this position will also provide speaker management support for education courses; manage invited speakers, Special Interest Groups (SIGs) and moderators for the Annual Meeting and assists with the management of abstract submission and speaker coordination of the Annual Meeting Scientific Program.
This position is part of ARVO’s Meetings team and will report to and work closely with the Director of Programming. The Abstracts and Program Manager will also collaborate with ARVO staff members in other departments, the abstract database vendor, invited speakers, and ARVO members.
Key responsibilities for this position include:
Administer abstract database for submission, review, scheduling, and notifications, serving as back-up to the Director of Programming.
Work directly with Abstract Database Vendor, identifying problems/concerns and proactively seeking out solutions and improvements.
Annual Meeting Scientific Program
Setup of the submission sites for the Abstracts, Special Interest Groups (SIGs) and Invited Speakers, serving as back-up to the Director of Programming.
Abstract submission, review, scheduling, and output/publication processes, serving as back-up to the Director of Programming.
Invited speaker and moderator management.
ARVO International, Bench-to-Bedside and ARVO Small Meetings
Identify and manage project and program development tasks and timelines.
Lead the setup of the abstract/invited speaker/moderator submission site database.
Initiate the abstract submission process, speaker management and session scheduling.
Key Qualification for this position:
Minimum of 3 years’ experience with program-related project and database management for an association
Experience with Scholar One or other abstract management software preferred
Minimum of 3 years’ experience in meeting speaker management
Strong organizational and interpersonal skills demonstrating positive, effective interactions with staff members and volunteers
Proficient skills in Excel, Word, and Power Point
Strong work ethic with ability to work independently and on teams a must
Ability to set, manage, and meet deadlines required
Ability to travel up to two weeks per year to attend meetings
