The Reagan-Udall Foundation for the Food and Drug Administration (FDA) is a non-profit organization that works to support the mission of the FDA by advancing regulatory science and research. RUF establishes Public-Private Partnerships between FDA and external stakeholders to facilitate innovation in science and health.
RUF is seeking a mission-driven Special Assistant to the Executive Director with an interest in joining a small and growing team and a willingness to stretch and take on additional tasks as needed. This position would be ideal for a motivated individual interested in expanding their skills and growing their career.
The Special Assistant reports directly to and works closely with the Executive Director. The Special Assistant is responsible for supporting the Executive Director through a combination of project management, writing and editing, research, and administrative support.
Complete a variety of administrative tasks for the Executive Director to include managing calendar and appointments, completing expense reports and arranging travel and itineraries;
Maintain organization’s customer database;
Plan, coordinate, and ensure ED’s schedule is followed;
Communicate directly and on behalf of the ED with Board members, donors, staff, and others, on matters related to programmatic initiatives;
Facilitate the flow of emails and telephone communications;
Interact with staff to direct flow of information and assist staff with tasks as requested by the ED
Support and coordinate projects;
Prepare briefings, talking points, presentations and proposals for internal and external meetings;
Schedule, prepare materials and notes, and ensure follow-up for various Board, leadership and staff meetings;
Draft and edit various documents including internal/external correspondence;
Conduct and assemble research, track other program models and generate ideas on a variety of topics;
Participate in meetings, taskforces and workgroups both internally externally;
Maintain confidentiality of information;
Update standard operating procedures (SOPs) for job duties;
Performs other duties as assigned.
Bachelor's Degree required, a Master’s degree in policy or science preferred;
Minimum of three years of experience in administrative or executive support;
Interest in the following is strongly desired: activities of the FDA (e.g. drug and medical product safety, food safety), public health, scientific and technical disciplines related to health, science communication and education, public-private partnerships;
An understanding of FDA regulatory activities and drug development is a plus.

Highly resourceful team-player with the ability to be extremely effective independently;
Proven ability to adapt to competing demands;
Ability to work with a variety of people in a fast-paced environment such as executives, board members, government officials, and other stakeholder groups;
Ability to solve problems, propose solutions, prioritize, and multi-task;
Must be reliable, creative, flexible and self-motivated.
