Association management company seeks motivated, adaptable professional with diverse skills to support client work, including membership, education, meetings, and communications.
Manages multiple databases. Responsible for data entry and ensuring systems are accurate. Generate reports.
Works closely with the accounting department staff on client income/expense reconciliations and day-to-day data entry of checks and recording of online transactions.
Serves as front-line administrative resource. Answers the phone lines and provides prompt, cordial assistance with the goal of resolving the callers’ questions with one call.
Develops and maintains centralized project calendars. Works with the Account Executives and appropriate staff to establish timelines for the key activities associated with client work. Ensures information is current and accurate.
Handles the distribution and data collection for client evaluations and surveys. Works with vendor or constructs on SurveyMonkey or comparable digital tool. Compiles data and generates reports.
Updates client websites, learning the various platforms. With the Marketing Department writes copy and uploads content.
Documents clients’ processes and updates regularly.
Provides support for in-person and distance education and meetings, including but not limited to registration, faculty correspondence and management, handouts, and other related duties. Supports the production and execution of live webinars.
Assists Account Executives with gathering and preparing information for client research and presentations.
Provides administration support for the Board of Directors. Prepares and distributes communications relative to meetings, including the agenda materials, notifications, invitations, etc. Schedules conference calls and manages appropriate calendars. Distributes meeting notices. Prepares Board meeting/conference call minutes and distributes.
Bachelor’s degree required.
Minimum of 5 years of association management experience preferred.
Travels out of town to meetings as needed.
Experienced with: Microsoft Windows, MS Word, Excel, PowerPoint, required and, experience with database and website management as well as SurveyMonkey and GoToWebinar preferred.
