We are looking for an Executive Assistant to join our team to help make this a reality.
The Executive Assistant is responsible to provide high level administrative support to the President and CEO and operational support for the ABTA Board of Directors and Senior Management staff, including preparation of reports and presentations, handling information requests, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The Executive Assistant will be responsible for coordinating projects that may involve working with all levels of internal management and staff. Carryout all administrative duties such as filing, typing, copying, printing, scanning, etc.
Position Duties and Responsibilities of the Executive Assistant
Manage and maintain the President and CEO’s schedule, appointments and travel arrangements;
Schedule senior level and committee meetings and record minutes;
Prepare and edit presentations, handouts and meeting notes as needed;
Monitor, screen, respond to and distribute incoming communications;
Prepare expense reports, submit bills for payment;
Arrange and coordinate internal and external meetings and events;
Answer and manage incoming calls, receive and interact with incoming visitors;
Answer and returns calls on behalf of the President and CEO;
Prepare, write, edit, and develop Word and Powerpoint documents as needed;
Assist in the preparation of regularly scheduled reports;
Maintain various contact lists of vendors, suppliers and other providers;
Handle sensitive information in a confidential manner.
Knowledge / Skills / Abilities of the Executive Assistant:
5+ years experience in an Executive Assistant role within a not for profit environment;
Excellent written, verbal and telephone communication skills within a professional environment;
Must be able to maintain confidentiality and discretion at all times;
Ability to manage multiple tasks and meet deadlines;
Accuracy, attention to detail and problem solving skills;
Proficiency in MS Office Suite, Email and Internet;
Easily adaptable to changing priorities;
Other duties as assigned.
The salary for this position is mid $50’s depending on experience.
