Associate Meeting Planner
The Connecticut Society of Certified Public Accountants (CTCPA) is seeking a proactive meeting planning professional to work with our team of dedicated association management professionals in a fast-paced, congenial environment.
The Associate Meeting Planner will work directly with our Director of Professional Development to produce more than 150 seminars, conferences, and meetings annually, and will also manage other special projects.
The Connecticut Society of CPAs is a professional membership organization for CPAs, accounting professionals, and accounting students. Based in Rocky Hill, we work to support, educate, and advance accounting professionals through programs and services that span the state. We maintain relationships with state and federal regulatory agencies, fellow state and national professional organizations, legislators, and others to assure our members are in-the-know on current regulations, policies, and best practices.
The Associate Meeting Planner will:
Assist with the development and coordination of association-sponsored meetings, educational conferences, seminars, and webinars.
Work with various member committees to select conference topics and identify appropriate speakers, serve as the liaison to speakers on all aspects of conferences, and ensure adherence to program deadlines.
Assist with day-to-day administration in support of the department, including, but not limited to, processing meeting registrations and payments, coordinating logistics of meeting room setups, audio/visual requirements, food and beverage functions, and other workshop/meeting-related requirements.
Communicate effectively, verbally and in writing, with a diverse range of audiences including staff members, committee chairs, board of directors members, hotel/meeting facility staff, vendors, and others.
Administer meetings for participation both on-site and via virtual participation (livestream, webinar, etc.)
Work closely with the meeting-planning team as well as other association departments.
Be available to work an extended workday if necessary.
The ideal candidate will have:
1-3 years work experience in meeting/event planning or in the hospitality industry preferred.
Ability to handle stressful situations calmly and with minimal assistance.
Excellent motivation, problem-solving, and communications skills
Strong oral, written, and interpersonal communication skills.
Positive, outgoing, can-do attitude.
Exceptional internal and external customer service skills.
Ability to handle shifting priorities and multiple tasks simultaneously, developing sound judgement to prioritize various levels of demands.
Able to plan ahead to meet deadlines, able to work in a fast-paced environment, organized, and possess excellent time management and prioritization skills.
Meticulous attention to detail and strong work ethic.
Ability to work independently as well as part of a team.
Intermediate to advanced computer proficiency (MS Office and Adobe Acrobat Pro) required. Familiarity with customer relationship management systems a plus.
Knowledge of or comfort with learning administration of virtual meeting technology such as GoToMeeting, Skype, Zoom, WebEx, etc.
Willingness and enthusiasm to learn about the accounting profession.
Must be physically able to set up for meetings, carrying and moving items (up to 25 lbs.) such as tables, chairs, signs, platters, drinks, AV equipment, flip charts, etc.
Business experience is preferred, but not required.
CMP designation preferred, but not required.
Nonprofit association experience a plus.
Continuing education accreditation and distance learning program knowledge a plus.
