Reporting to the Executive Director and collaborating with the ED, Membership and Trade Show Committee and Associate Member Advisory Board, the director/senior director will manage all aspects of IPCPR’s Annual Convention & International Trade Show (Trade Show) as well as new conferences and events to be held throughout the year. Responsible for the overall Trade Show and events budget; including financial analysis, interpretation, reporting and projections. Monitor industry trends and research/implement new potential revenue opportunities and pursue cost-saving initiatives. Responsible for leading trade show team, exhibit and sponsorship account manager, contractors and vendors. Must be available for work-related travel.
Primary Duties and Responsibilities:
Directs all event logistical components to include registration, housing, transportation, venue management and budget management for annual convention and trade show.
Manages the entire exhibit sales and service cycle from contracting booth space, invoice collection, floor plan management, liaising with general service contractor, on-site floor management and exhibitor customer service inquiries.
Manages the services of all applicable vendors involved in the production of the trade show and other conferences/events.
Acts as primary liaison with the volunteer leadership and staff to manage all logistics of creating appropriate networking offerings at the trade show
Consistently work to improve exhibitor relations through focused outreach, face-to-face meetings and networking
Works internally across all departments and externally with key stake holders to assist with fundraising/development, including membership, booth sales, ad sales and sponsorship sales
Manage trade show committee and special projects as they arise
Assist ED with dues and booth payment collections as needed
Work directly with appropriate staff to improve member relations by attending industry events throughout the United States
In collaboration with retail and associate membership managers, develop and execute new conference and event throughout the year in various locations around the US and potentially other countries.

REQUIREMENTS & QUALIFICATIONS:
Event management experience is a must. CMP, CMM or CEM certification is a plus.
Excellent written, verbal and interpersonal communication and negotiation skills.
Strong attention to detail and accuracy, project management skills required.
Ability to solve difficult problems with effective solutions.
Requires ability to organize projects simultaneously and keep on schedule and budget.
Must be able to function with minimal direct oversight.
Must be able to travel multiple times a year (20%)
Must demonstrate outstanding customer service orientation and have the ability to interact effectively and appropriately with individuals of various levels, professions and cultures.
Convey a professional attitude and demeanor in all projects and outside events as the position is a representative of the Association.
Proficiency in database management and basic office software programs, Association Management Software. An ability to adapt and learn new software and web-based systems is mandatory.

Understanding of and appreciation for the premium cigar and pipe tobacco industry
EDUCATION AND EXPERIENCE:
Bachelor’s degree in hospitality administration or a related field, with 10+ years of experience in event management. Experience managing large events preferred.
Association and/or not for profit work experience a plus.
Experience with event and exhibit logistics.
Experience with vendor contracts and relations, budgeting & forecasting.
