Under the direction and supervision of the Director, Member Services & Operations, the Administrative Assistant will support the LeadingAge Virginia staff with daily operations and projects to achieve the association’s mission. The Administrative Assistant is responsible for providing ongoing support for educational events and other meeting logistics, database and website updates, and dues processing.
Specific functions and responsibilities include:
Maintain membership data in state and national databases;
Handle stand-alone educational event and other meeting logistics including ordering food, selecting site, organizing meeting materials and any on-site set up required;
Manage exhibitor communications for the Annual Conference & Expo;
Proofread brochures and other marketing or communication materials;
Research prospective business and provider members for recruitment;
Support provider and affiliate member dues renewal processes, including working with LeadingAge staff (national) to reconcile LeadingAge dues invoices;
Add and update website content in collaboration with team;
Support Dementia Friends Champions through resource dissemination, setting up information session registration and reporting to Dementia Friends USA;
Update office procedures manual; and
Perform other duties as assigned.
Prior Administrative experience;
Strong customer service skills;
Able to collaborate easily with others;
Able to work independently;
Proficient in the understanding and application of a variety of technologies and an interest and aptitude to learn new software and other technologies;
Strong proofreading skills;
Ability to travel, including overnight stays, for Association needs (occasional in-state travel, usually with advanced notice);
Must be able to manage several projects simultaneously, paying close attention to detail; and
Computer proficiency and strong knowledge of Microsoft Office platform, especially Excel.
